Privacy policy
This policy explains what personal data we process when you use our recruitment sourcing and screening platform, why we process it, and the choices available to you and to candidates.
01Who this policy covers
This policy covers two groups of people: customers who use the platform to hire (recruiters, hiring managers and agency staff), and candidates whose data enters the platform through a customer's sourcing channels.
For candidate data, the customer who opened the role decides why and how that data is used, and we process it on their behalf and on their instructions. For customer account data and website visitors, we decide how the data is used.
02Data we collect
Customer and account data
- Name, work email, organisation name and role, provided at sign-up or through the contact form
- Workspace settings, role briefs, notes, feedback and pipeline activity
- Billing details needed to invoice your plan
- Technical data such as IP address, browser type and usage logs, used to operate and secure the service
Candidate data
- Information a candidate submits when applying or is submitted by a referrer: name, contact details, CV, profile links and application answers
- The sourcing channel and time of arrival
- Screening results, match scores, pipeline stage, and notes added by the hiring team
- Interview scheduling details, where scheduling is used
03How data is used
- To aggregate candidates from connected channels into role feeds
- To screen and score candidates against the job-relevant requirements a customer defines
- To support shortlisting, pipeline management and interview scheduling
- To provide, maintain, secure and improve the service, and to support customers
- To send account and service messages, including login details after sign-up
We do not sell personal data, and we do not use candidate data for advertising. Candidate data from one customer is never made available to another customer.
04Automated screening and human decisions
The platform uses automated analysis to screen and rank candidates. This is decision support only. It does not reject candidates, does not remove them from view, and does not make hiring decisions. Every decision about a candidate is taken by a person on the hiring team.
Screening criteria are limited to job-relevant requirements. Attributes such as age, gender, religion, caste, marital status or disability are not used as screening criteria.
06Retention
Candidate data is kept while the related role is open and for the retention window configured by the customer after it closes, after which it is deleted or anonymised. Customers can delete individual candidates at any time.
Account data is kept while an account is active and for a limited period afterwards to meet legal, accounting and dispute-resolution needs.
07Security
Data is encrypted in transit and at rest. Access inside a workspace is role-based, and staff access is limited to what is needed to provide support. More detail is on our data and security page.
08Your rights and choices
Depending on applicable law, you may have the right to access, correct, delete or obtain a copy of your personal data, and to withdraw consent where processing relies on it.
Candidates should first contact the organisation they applied to, as that organisation controls their data in the platform. We will support customers in responding to such requests. Customers and visitors can reach us through the contact page.
10Changes to this policy
We may update this policy as the service evolves. Material changes will be communicated to customers by email or in the product before they take effect.
